Suggestion mode/Track Changes

You want to share an article with a colleague or client, but the thought of them editing freely everywhere makes you a little nervous. Sound familiar?

Activate the suggestion mode. With this feature, you and your collaborators can leave text suggestions anywhere in the article. You get to approve or decline each change, so everyone stays on the same page, literally.

Start using the suggestion mode

1. Add suggestions in articles

Step 1. Go to the article (through the article overview, an invitation, ..) and go to the Edit tab.

Step 2. Open the menu on top of the page (top right) and choose "Suggest edits".

Alternatively, select a piece of text and click "Suggestion".

Notice the edit mode changed to Suggesting mode.

Step 3. Add a suggestion by directly deleting the sentence that you would like to change and adding the new text. Once done, tab Enter to save it. These suggestions can be either textual or formatting layout (headers, bold etc). Embeds of images/videos/other media can't be added through the suggestions.

Step 4. The added text will be displayed in green while removed text is shown in red. Next to it, you will see a comment showing what has been added and/or removed for a better overview.

  • To undo the suggestion, select the return button.

  • To confirm the suggestion, select the checkmark.

Step 5. After going through the whole article and leaving suggestions, close the suggestion mode by clicking the X in the "Suggesting" label on top of the article. This will bring you back to the standard edit mode.

Now that you know how to leave suggestions, it’s time to get others involved! Invite a colleague or client to edit or review the article (see Invite users to your article), and they can check out your suggestions; or add a few of their own.

Collaboration just got a whole lot easier.


2. Review suggestions

If a colleague, a client or any other party has left some suggestions for you to review, follow the steps below to know how to proceed.

Step 1. The easiest way to get an overview of the suggestions is to select the comments button at the top of the article.

This opens the comment sidebar with more details regarding the suggestions, such as the person and the date.

Step 2. Select a suggestion to highlight it in the article. The buttons to accept or decline the suggestion also appear now. Choosing either one will implement the suggestion in the text, or remove the suggestion.
